Participation in survey and competition "Sentobib"

Competition rules and statement of personal data

These competition rules are drawn up in English, and are translated into French, Dutch, Spanish, Italian and German for the comfort of the respondent.
The English version is the leading version, no rights can be linked to the translated versions.

 

Art. 1 The object

"Sentobib" is a research project for European libraries and contains an online survey of the audience of the participating libraries.
This online survey is linked to a competition for the participating respondents.

This competition is organised by Sento Group BV (see Art. 7), who facilitates the research. These rules determine the modalities for participation in the survey and the associated competition. Participation in the survey and competition implies acceptance of these rules.

  • "The respondent" or "respondents" are the individuals who complete a survey for one of the participating libraries.

  • Participation in the survey is entirely voluntary and happens by free will of the respondent.

  • Participation in the study and competition is allowed from the age of 18.

  • The respondent can stop the survey at any time.

  • The surveys are completely anonymous. No identification data of the respondent is requested or stored.

The estimated time to complete a survey is 10 minutes, depending on the respondent’s speed and answers.
The respondent gives the researchers or their partners permission to store, process and report answers anonymously.

The data is collected and stored by Sento Group BV and can be shared with the partners of the study, such as the participating universities.

Art. 2 Personal data

  • The questionnaire contains no questions about personal or identification data: no data are collected at any time that can be traced back to the identity of an individual.

  • The completion of the questionnaire is therefore completely anonymous at all times.

  • Due to this anonymous nature, it is not possible to find out who has completed a certain survey, and therefore not possible to view, change or delete answers afterwards.

It is prohibited to leave personal data (name, email address, address, etc.) in the open fields of the survey.
If this happens, you may contact Sento via the e-mail address below to view, modify or delete such data.

No personal data is collected for the competition ("win a trip") either.

  • The system selects winners according to the procedure in Art. 4.

  • Winners will see a separate message after completing the survey with a unique code and instructions to contact the research team by e-mail.

  • In this way, the team only contacts winners and avoids collecting data from all respondents.

Winners can at any time and on simple request by e-mail or letter ask Sento Group BV to view, change or delete their personal data.
Personal data of winners will be deleted after their prize is handed over.

 

Art. 3 Competition conditions

The competition runs throughout the period of the audience survey.

  • Only respondents who complete all questions in the questionnaire participate validly.

  • Each person may participate only once in the survey and therefore in the competition.

  • Each respondent has a chance to win one of the trips, but can only win one trip.

Prizes:

  • Trips are given in the form of vouchers worth 1000 euros.

  • The total number of trips is 3 for the entire study (subject to change by the research team).

Additional benefit:

  • Each valid respondent saves 1 m² of endangered rainforest or nature reserve.

  • Max. 1 m² per respondent, up to 1000 m² per questionnaire (per library).

At the end of the study, a donation is made to the World Land Trust, who issues an official certificate. This will be shared with all participating libraries and published online.


Art. 4 Determination of winners

  • Prizes are raffled via a lottery system.

  • Prior to the study, www.randomizer.org selects 3 libraries (+3 spare libraries) from all participating libraries.

  • In the survey of these libraries, a prize is raffled among participants.

Process:

  • For each chosen library, www.randomizer.org chooses a number between 1 and 10.

  • In the winning libraries, a randomizer in the survey system assigns each respondent a number between 1 and 10 (invisible to them).

  • The first respondent assigned the winning number sees a winning message at the end of the survey with a unique code and an e-mail address.

  • The winner must contact this address; further processing is handled directly between winner and organiser.

If the winner does not contact the organiser within 1 week, the prize may go to the next respondent assigned the winning number.
This process repeats until a winner is determined for each prize.

If a chosen library risks too few respondents, the project team may replace it with a spare library.
New libraries can also be added if necessary.

If the project team decides to:

  • Add prizes: additional libraries and numbers will be chosen.

  • Reduce prizes: the randomizer decides for which libraries no prize is raffled.

All draws are recorded on video. Any later changes (more or fewer prizes) are also recorded.

The outcome is final and binding, and cannot be challenged.
No correspondence with the organiser is possible.

 

Art. 5 Prizes

  • Each winner receives 1 travel budget of 1000 euros in the form of a voucher (usable for travel, lodging, activities).

  • In total 3 vouchers are available.

  • Number of prizes may be adjusted without notice.

Prizes are not exchangeable for cash or other benefits.
The organiser is not liable for the quality of trips or for defects in third-party services.

 

Art. 6 Competition rules

Participation implies full acceptance of these rules.

  • Any fraud attempt leads to immediate exclusion and possible legal action.

  • Sento Group BV reserves the right to change, postpone, shorten or cancel the competition (in whole or in part) in case of force majeure or circumstances beyond its control.

  • No liability can be claimed.

Errors in printing, spelling, or layout cannot be invoked as grounds for obligations.

For the comfort of users, it is translated into Dutch, French, German, Spanish and Italian.
These translations are not binding; no rights can be derived from them.
